Fast search with integrated database
A database is installed in BvLArchivio that enables individual or multiple documents or files to be found in seconds. A dynamic and comprehensive query is possible at any time. The system can be accessed with any browser. Once the access data has been successfully entered, you can search for documents and files and retrieve them with a single click.
BvLArchivio responds within seconds with a list of all documents and files that match your query. This results list is sorted chronologically, with the most recent archives at the top and the older the documents and files the further down you scroll. A preview image of each document is displayed in the results list.
Font recognition for error-free results
Filing takes place via the font recognition. Font recognition software is installed in BvLArchivio. The latest version of this OCR (Optical Character Recognition) makes work easier in your office.
As soon as your scanned paper documents have been transferred to BvLArchivio, the automatic character recognition reads all pages from the document. All terms and numbers from the document are then saved in the BvLArchivio database. This database saves the storage location and the complete content from the scanned document for each archived document.
As soon as you later want to search for a document in the archive, the database answers your query within seconds and makes the document available. The text recognition built into BvLArchivio now includes more than just normal OCR. Context analysis methods, Intelligent Character Recognition (ICR), are also used to correct the actual OCR results. For example, a character that was actually recognized as an "8" can be corrected to a "B" if it is within a word. So instead of "8aum", "Baum" is recognized. These additional methods are part of BvLArchivio and ensure error-free recognition.
Use your own filing structures
If you do not want to rely solely on the contents of the documents, you can also enter your own filing and storage characteristics. The archive and filing labels you currently use in your paper archive for folders, cabinets or suspension files can be adopted in full and thus mapped 1:1 in BvLArchivio.
The aim must remain to be able to use BvLArchivio's automatic archiving process even when using your own archive and filing labels. BvLArchivio offers various options for this: You can work with instruction sheets, stamps, your own imprints, labels, barcodes or even metadata from the scanner. These options eliminate the need for time-consuming reworking at the workplace after the scanning process.
