After installation, files and documents can be archived directly in BvLArchivio using the
right mouse button!

After installation, you can archive one or all emails from selected folders in BvLArchivio with a single click! The emails are archived in their original format (MSG) with all attachments. Certain e-mail attachments (PDF, Word and Excel) can also be saved separately in BvLArchivio outside the e-mail file if desired. Our user examples as PDF files.

PDF files received by email (invoices, documents or scanned documents) can initially be read and checked in the conventional way. With the plug-in, a user starts the checking process, which allows the received e-mail with all attachments and the approval log to be forwarded to another recipient, who in turn checks and forwards it or archives the process in BvLArchivio. All approvals and comments are visible to all recipients involved. Our

HOTFOLDER MASS ARCHIVING:
With this free program, you can automatically transfer several files to BvLArchivio at the same time. Copy your folder with the files (also possible with subfolders) into the working directory and start the program. Metadata is generated for each individual file. This metadata maps the folder structure and file naming of a file. Each file receives a metafile with this information. The content of the metafile is read by BvLArchivio. You will therefore find your data in BvLArchivio exactly as you have organized and stored it in your current folder structure. You can transfer any file. For PDF files, you can also specify whether they should be transferred to OCR. You can then search for the entire content in the archive. You can also enter fixed search terms for all files that are not derived from the folder or file names. The program transfers all files to the BvLArchivio server and creates detailed logs of which files were successfully archived and which could not be archived. A query list is also created automatically so that you can then have the BvLArchivio server perform a mass check to check whether every file has actually been archived correctly.

DIGITAL OLD STOCK:
It should not be a great effort to transfer your digital old stock that already exists in a file system to BvLArchivio. With this free program, you can have the program read out entire folders including subfolders. Metadata is generated for each individual file. This metadata maps the folder structure and file naming in which a file is located. You will therefore find your data exactly as you have organized and stored it in your current folder structure. You can transfer any file. For PDF files, you can also specify whether they should be transferred to OCR. You can then search for the entire content in the archive. You can also enter fixed search terms for all files that are not derived from the folder or file names. You then transfer the files to the BvLArchivio server at a suitable time. This is to prevent large quantities of old files from disrupting daily operations. The files are transferred in the form of a simple copy. In addition to the metadata, the program also automatically creates a query list so that you can then have the BvLArchivio server carry out a mass check to check whether each file has actually been archived correctly.

HARD DISK CHANGE:
Use the free program to monitor regular hard disk changes. You will automatically receive an e-mail if the backup hard disks have not been changed. Install the free software tool on any computer and monitor BvLArchivio (prerequisite: BvLArchivio server version from 12-2019 available). If you don't want to change hard disks but still want a high level of data security, you can also work with an additional paid backup server. All data is immediately transferred from the main server to the backup server. Your data would then have 6-fold redundancy on two different servers, which can be located in two different locations in the company network.

The BvLArchivio sample procedure documentation for the digitization and electronic storage
of receipts including the destruction of paper receipts, jointly developed by the Federal Chamber of Tax Consultants and the German Association of Tax Consultants, has been fully adapted for you and is available here as a Word file.

BvLArchivio was audited by the renowned international auditing firm KPMG. KPMG's certificate confirms that BvLArchivio enables the storage and retrieval of electronic documents in accordance with German generally accepted accounting principles.

What exactly does the "IDW PS 880" certificate mean?

The IDW PS 880 certificate certifies that the manufacturer has undergone an independent audit with its product, in which it was established that the product complies with the principles of proper accounting. With reference to the system and user documentation, the processing functions and processing rules as well as security aspects such as access protection and data security are examined in detail for archiving solutions. The basis for this is a test case method based on the manufacturer's existing test cases and the testing institute's own test cases. Overall, the test cases must cover the essential functions described in the documentation and take into account the combinations of functions that are representative of the work task. A further focus is also the testing of those properties that ensure the non-writeability and non-erasability of archived data.

Finally, the audit report documents compliance with all
relevant regulations as the "IDW PS 880" certificate. BvLArchivio® meets the following requirements, among others, and therefore complies with tax and commercial law requirements in every respect:

1. the statutory provisions of commercial and tax law (Sections 238 et seq. HGB
and Sections 140 - 148 AO)
2. the generally accepted accounting principles (GoB)
3. the letter from the Federal Minister of Finance (BMF) dated 7. November 1995 on the
"Principles of orderly IT-based accounting systems" (GoBS)
4. the BMF letter dated July 16, 2001 (renewed on 28.11.2019) on the "Principles of data access and verifiability of digital documents" (GDPdU)
5. The statement on accounting by the Expert Committee for Information Technology (FAIT) of the Institute of Public Auditors in Germany (IDW)
"Generally Accepted Accounting Principles for the Use of Information Technology"

6. The IDW statement on accounting of the FAIT "Principles of proper

The principles for the proper keeping and storage of books, records and documents in electronic form and for data access (GoBD) are coordinated in cooperation between the federal and state tax authorities, trade associations and the tax advisory professions. The BMF letter summarizes the requirements of the tax authorities for IT-supported accounting in a practical manner and provides important legal clarity.
